Connect Zoom for automatic cloud-recording analysis — org-wide or per rep — or paste a single share link.
Before you start
- Cloud recording requires a paid Zoom plan (Pro or higher). Local recordings on your computer are not synced.
- For the best results, turn on two Zoom settings under Zoom Settings → Recording:
- Audio transcript — Zoom produces its own transcript, which imports fastest.
- Record an audio-only file — lets CloseIntel transcribe calls even when Zoom's transcript is off.
CloseIntel does not record calls. It analyzes cloud recordings that Zoom already made, after you connect the integration.
Three ways to use Zoom
- Connect org-wide (recommended for teams) — a Zoom account admin connects once and every cloud-recorded call across the organization imports automatically, routed to the rep who hosted it.
- Connect your own Zoom — each rep connects individually and their own cloud recordings import automatically.
- Paste a single share link into Intel (the Call Analyzer) for a one-off analysis.
Option 1 — Org-wide connection (Zoom admin)
- Go to Admin → Configuration → Integrations.
- Click Add integration, then Connect org-wide on the Zoom tile.
- Sign in to Zoom as an account admin and approve the permissions.
- You'll be redirected back and Zoom shows as Connected for the organization.
Every new cloud recording on the account is analyzed automatically a few minutes after the meeting ends, and each call is attributed to the rep who hosted it.
Option 2 — Personal connection (per rep)
- Go to Settings → Integrations.
- Click Connect on the Zoom tile.
- Sign in to Zoom and approve the permissions.
- You'll be redirected back and Zoom shows as Connected.
You can toggle Auto-analyze new calls, import past recordings, and disconnect at any time from the Zoom tile. Past recordings from the last 30 days are available in the Import picker.
Option 3 — Manual link upload
- Open the recording in Zoom (from your cloud recordings).
- Copy the share link (include the passcode if one is required).
- In CloseIntel, open Intel from the sidebar, choose Share Link, paste the link, and click Run Analysis.
If a Zoom share link is blocked by a CAPTCHA, copy the transcript text and use the Paste Transcript method in Intel instead.
Uninstalling / disconnecting
You can disconnect either direction — both stop all ingestion immediately:
- From CloseIntel: open the Zoom tile (Settings → Integrations, or Admin → Configuration → Integrations for the org connection) and click Disconnect.
- From Zoom: go to the Zoom App Marketplace → Manage → Added Apps, find CloseIntel, and click Remove. Zoom notifies CloseIntel and the connection is revoked automatically.
Data deletion on uninstall
If you remove the app from Zoom without consenting to data retention, CloseIntel deletes the raw content it obtained via Zoom APIs — transcripts, recording links, and cached derivatives — within 10 days of the deauthorization. Coaching analyses CloseIntel generated from those calls are its own derived work product and are retained under the Privacy Policy; contact support to have them deleted too.
Troubleshooting
- Nothing imports: confirm the meeting was cloud recorded (not local), and that the connection shows Connected with Auto-analyze on.
- A call was skipped with "no audio file": enable Record an audio-only file in Zoom's recording settings (very long MP4-only recordings can exceed the transcription size cap), or enable Audio transcript.
- Calls land on the wrong person (org connection): calls route to the Zoom host's email — make sure each rep's CloseIntel email matches their Zoom sign-in email.
- Import failed (share link): verify the link is valid, the recording hasn't expired, and the passcode was included.
