Connecting Fireflies
Fireflies.ai records and transcribes your meetings. Connect it to CloseIntel as an Auto-Sync Integration so new Fireflies transcripts flow into Intel (the Call Analyzer) for AI analysis — no per-call upload. Setup uses your Fireflies API key plus a webhook URL you paste into Fireflies.
Setup
- Go to Settings → Integrations.
- In the Auto-Sync Integrations card, click the Fireflies.ai tile, then click Connect Fireflies.
- Step 1 — Connect: paste your Fireflies API Key (get it from the Fireflies Developer Settings page), then click Connect. CloseIntel verifies the key.
- Step 2 — Configure Fireflies: copy the Webhook URL and Webhook Secret CloseIntel shows you, then paste both into your Fireflies dashboard under Settings → Developer settings → Webhooks and save.
If your Fireflies account uses a different email than your CloseIntel account, CloseIntel sends a one-time confirmation link to your Fireflies email. Calls won't be analyzed until you click that link — and the connection auto-disables after 24 hours if it isn't confirmed.
How it works
Once connected and confirmed:
- New Fireflies recordings are imported automatically after each meeting finishes processing.
- Transcripts are queued for AI analysis.
- Imported calls appear in your call list (History in the sidebar) with a Fireflies source label.
Managing the integration
From the Fireflies tile in Settings → Integrations you can:
- Auto-analyze new calls — toggle automatic analysis on or off.
- Filter by meeting title keywords — analyze only meetings whose title contains a keyword you add (for example, Demo or Discovery). Leave it empty to analyze everything.
- Sync now — pull any recent transcripts immediately instead of waiting for the next webhook.
- Import past recordings — back-fill older Fireflies recordings into CloseIntel.
- View Activity — see recent webhook events, including any failures.
- Rotate webhook URL — generate a fresh URL (you'll need to paste the new one into Fireflies).
- Disconnect — stop syncing at any time.
Troubleshooting
- Calls not importing: confirm the Webhook URL and Webhook Secret are pasted correctly in Fireflies, and that the webhook is saved.
- Pending email confirmation: click the confirmation link CloseIntel emailed to your Fireflies address, or use Resend confirmation email.
- Delayed imports: new recordings can take a few minutes to appear after the meeting ends.
- Missing calls: make sure the Fireflies notetaker was active during the meeting, and check your title-keyword filter isn't excluding it.
